Most inbound enquiries are lost in the gap between interest and action. The fix is unglamorous: answer faster, every time.
Every business we audit has the same leak in the same place: somebody raised their hand, and nobody replied for four hours. By then the buyer has messaged two competitors and mentally moved on.
Interest decays quickly
Intent is highest in the minutes after someone contacts you. Replies inside a minute feel like service; replies the next morning feel like an apology. The content of the first message matters far less than its existence - a crisp acknowledgement plus one qualifying question outperforms a beautifully written email sent hours late.
What a good first reply does
- Confirms a human outcome: we have your enquiry and here is what happens next.
- Asks exactly one question that moves the deal forward.
- Offers a concrete next step - a slot, a quote range, a document.
- Sets expectations for timing so silence never feels like being ignored.
Speed is a positioning statement. It tells the buyer what working with you will feel like.
Where AI fits - and where it should not
AI should own the first sixty seconds across every channel: web chat, WhatsApp, email, forms and missed calls. It acknowledges, qualifies against your rules, and books when the criteria are met. It should not improvise pricing, invent policy, or pretend to be a person. The handover to your team should carry full context so nobody re-asks what the buyer already answered.
Done well, the result is boring in the best way: nothing sits unanswered, and your team only touches conversations worth their time.
